SMS Messaging Policy

Overview
ChiroScribe, operated by Bulletproof Citadel LLC, provides SMS appointment notifications to patients of chiropractic practices that use our platform. This policy describes how we collect consent, what messages we send, and how patients can opt out.
1. How Patients Opt In
Patients opt in to receive SMS notifications during the online appointment booking process. Each chiropractic practice using ChiroScribe has a public booking page where patients can schedule appointments.
During step 4 of the booking flow ("Your Details"), after selecting an appointment type, provider, date, and time, patients enter their contact information and see the following checkbox:

Email confirmations and reminders are always sent. SMS is only sent when you opt in.
The checkbox is unchecked by default — patients must actively check it to opt in. Consent is recorded with a timestamp in our database. A phone number is only required when SMS opt-in is selected.
2. Types of Messages
When a patient opts in, they may receive the following types of SMS messages:
- ✓Appointment confirmations — Sent immediately after booking an appointment
- ✓Appointment reminders — Sent before upcoming appointments (typically 24 hours prior)
- ✓Reschedule notices — Sent when an appointment is rescheduled by the practice
- ✓Cancellation notices — Sent when an appointment is cancelled
3. Message Frequency
Message frequency varies based on appointment activity. Patients typically receive 1-5 messages per month depending on how many appointments they book. No marketing or promotional messages are sent — only appointment-related notifications.
4. Message and Data Rates
Standard message and data rates may apply depending on your mobile carrier and plan. ChiroScribe does not charge any fees for SMS notifications.
5. How to Opt Out
Patients can opt out of SMS notifications at any time using any of the following methods:
- Reply STOP to any message — you will receive a confirmation that you have been unsubscribed
- Reply CANCEL, END, QUIT, UNSUBSCRIBE, REVOKE, or STOPALL — all are recognized opt-out keywords
- Contact the practice directly — ask them to disable SMS notifications for your account
After opting out, you will receive one final confirmation message and no further SMS messages will be sent. You can re-subscribe at any time by replying START or SUBSCRIBE, or by checking the SMS opt-in box when booking a new appointment.
6. How to Get Help
Reply HELP or INFO to any message to receive assistance information. You can also contact us at support@chiroscribe.io for support with SMS notifications.
7. Privacy and Data Protection
We take patient privacy seriously:
- ✓No clinical details in SMS — Messages never include diagnoses, treatment details, or other Protected Health Information (PHI)
- ✓Phone numbers encrypted at rest — All patient phone numbers are stored with field-level encryption
- ✓No data sharing — Phone numbers and consent records are never sold or shared with third parties for marketing
- ✓HIPAA compliant — Our SMS notifications are designed to comply with HIPAA privacy requirements
