Estimate Documentation Time and Cost for Your Practice

This guide explains the arithmetic behind a documentation scenario. The examples are hypothetical, not measured ChiroScribe results or promises of revenue.

Choose your inputs

Use your patient volume, working days, measured minutes per completed note, and an hourly value you assign to your time. For a proposed workflow, include recording, processing, review, and corrections. Until you have measured that workflow, its timing is an assumption.

Calculate annual time

Annual hours = notes per day × minutes per completed note × working days per year ÷ 60

Time difference = current annual hours − proposed annual hours

Illustrative example: 20 notes per day, 5 minutes per note, and 200 working days gives about 333.3 hours per year. If a proposed workflow took 4 minutes per completed note, it would take about 266.7 hours. The difference would be about 66.7 hours. These are selected inputs, not a product benchmark.

If the proposed workflow takes longer, the difference is negative. That result is useful too.

Separate time value from cash savings

Estimated time value = annual time difference × assigned hourly value
Scenario net value = estimated time value − software and implementation costs

At an assumed $100 per hour, the example above assigns about $6,667 to the time difference. That is not additional revenue or a reduction in payroll. Actual financial impact depends on how the time is used and which costs change.

Test the assumptions

Compare representative visit types, record corrections, and review the clinical content. Repeat the calculation with slower and faster scenarios. A calculator cannot establish clinical accuracy, claim acceptance, or guaranteed savings.
